Terms and Conditions

1. General provisions

1.1. This document (“Terms and Conditions”, “TaC”) defines rights and obligations of the Conderence Attendees and the Conference Organizer.

1.2. The conference is organized by IRMA Foundation – Dogs in the Service of Men (NGO, Public Benefit Organization) registered at address: Mateckiego 21/12, 60-683 Poznan, Poland (“Conference Organizer”, “Organizer”).

1.3. The conference will be held in a place and dates appointed by the Organizer.

1.4. Conference Attendee can be any person who will register to the conference and will paid fee as appointed by the Organizer.

1.5. During the conference lectures and presentations will be delivered by renowned canine specialists: scientists and practitioners. Companies with “Sponsor” status will be entitled to present their product and services (according to detailed sponsorship agreements). Detailed conference schedule will be presented on www.freezeiwdc.com website.

2. Registration to the conference

2.1. In order to be able to take part in the conference an Attendee is obliged to register to the conference and pay conference fee as specified by the Organizer.

2.2. The following conditions have to be met by an Attendee to be allowed to take part in the conference:

2.2.1. Registration to the conference by filling registration form on www.freezeiwdc.com website or by sending email to info@freezeiwdc.com.

2.2.2. Paying the fee of amount specified by the Organizer within specified time period.

2.3. Registration deadline is specified by the Organizer.

2.4. The Organizer takes no responsibility for innacurate or false data provided by the Attendee during registration process.

2.5. Sending filled registration form or regsitration request via email means that the Attendee accepts Terms and Conditions and will follow other arrengements agreed with Organizer.

2.6. A person whose attendance to the conference is confirmed receives electronic PDF document (Ticket). The Ticket is send to email address provided during registration.

3. Fee

3.1. Information about conference fee is published on www.freezeiwdc.com website.

3.2. The fee has to be paid by credit card or electronic transfer using PayPal or PayU payment service during registraion or by direct bank transfer to bank account specified by the Organizer after registration within specified time period.

3.3. Lack of payment within specified time period will cause cancellation of registraion without any compensation.

3.4. The Organizer will issue VAT invoice as confirmation of payment.

3.5. Buyer on the invoice will be the entity appointed by the Attendee during registration.

3.6. All the cost related to attendance to the conference, including accomodation and travel are covered by the Attendee, not the Organizer.

4. Resignation

4.1. Conference Attendee may resign form participation within 14 days after registration but not later than date of the Conference. Resignation has to be sent via email to the following address: info@freezeiwdc.com.

4.2. Not later than 14 days after receiving resignation email the Organizer will return payed fee dimished by transaction cost. The money will be send back to appointed bank account, PayPal account or credit card.

5. Compliants

5.1. All the compliants and requests towards the Organizer have to be sent in written form to the following email address: info@freezeiwdc.com.

5.2. Compliants can be sent not later than 3 days after the conference.

5.3. No compliants will be handled after the date specified above.

6. Personal data

In accordance with provisions of GDPR we inform that:

6.1. Your personal data are administered by IRMA Foundation – Dogs in the Service of Man (NGO/Public Benefit Organization) registered at address: Mateckiego 21/12, 60-683 Poznan, Poland (“Personal Data Administrator”, “PDA”).

6.2. PDA is responsible for processing Attendees’ personal data in a secure way and in accordance with applicable law and regulations.

6.3. Should you have any questions or requests regarding personal data contact us via email: info@freezeiwdc.com.

6.4. Your personal data will be processed as described in our Privacy Policy.

6.5. You have right to access your data; you have right to correct your data; you have right to remove your data or impose limitations to processing your data; you have right to move your data. If data processing is based on your consent you have right to withdraw the concent at any time by sending email to the Organizer/Personal Data Administrator (see 6.3).

6.6. Your personal data will be retained 3 years or until you raise objection and request for data removal.

6.7. You have right to lodge a compliant to appropriate authority responsible for personal data protection if your rights regarding personal data processing are violated.

7. Final provisions

7.1. The Organizer reserves the right to cancel the conference in case of insufficient attendance.

7.2. The Organizer reserves the right to change conference agenda: detailed timeline, speakers and topics of lectures.

7.3. If the conference is cancelled due to Oranizer’s fault fees will be refunded as soon as possible to the Attendees to specified bank or PayPal accounts or credit cards.

7.4. Any legal dispute will be resolved by the court having jursdiction over Organizer’s residence unless otherwise specified by applicable law.

7.5. The conference is not a “mass event” according to Polish law.

7.6. Matters not covered by Terms and Condtions will be settled based on the Civil Code.

7.7. The Organizer takes no responsibility for Attendees’ belongins that are lost, destroyed or stolen during the event.

7.8. The Attendees take responsibility for any damages caused by them in the conference venue and hotel.

7.9. This TaC enters into force when published on www.freezeiwdc.com website.

7.10. Provisions of TaC and its acceptance is the integral part of registraion to the conference.

Privacy policy


The organizer reserves the right to change conference agenda: detailed timeline, speakers and topics of lectures.

The organizer reserves the right to cancel the event in case of insufficient attendance.
